How to get your data out of Dubsado

Worth doing while your account is still active, whether or not you've decided. Everything below takes an evening, and once it's done the decision stops being urgent.

    Export your client list

    Dubsado exports contacts to CSV. This is the piece that imports cleanly anywhere, and it's the one that's genuinely painful to rebuild by hand.

    Download every signed contract as a PDF

    Signed agreements don't transfer between platforms — not to us, not to anyone. Save them somewhere you control while you still have access, because you may need them years from now.

    Copy the text of your canned emails and form templates

    The wording is the valuable part and it's yours. Paste it into a document; you'll rebuild the templates wherever you land, but you won't have to rewrite them.

    Write down every open project and what it's owed

    Outstanding invoices and payment schedules have to be recreated by hand on the other side. A list of who owes what and when takes ten minutes and prevents the one genuinely expensive mistake in a switch.

    Don't cancel while money is in flight

    Keep the account until the last outstanding invoice has cleared. Run the new tool alongside it for your next few bookings rather than cutting over mid-season.

    Update your links last

    Instagram bio, website buttons, email signature, any Linktree. Do this only once the new booking page is live and you've tested it yourself as a client — the switch is invisible to everyone else if you get the order right.

What doesn't come with you: workflows, automations and the conditional logic in your forms. No tool imports another tool's automation, and if your Dubsado setup is heavily built out, that configuration is a real sunk cost. Weigh it honestly — it's the main reason switching is sometimes the wrong call.

About Dubsado 3.0 — you're probably not being repriced

If you've seen it suggested that the 3.0 rollout forces existing users onto higher pricing, that isn't what Dubsado announced. Their own post says existing paid users keep their current plans and pricing, gain 3.0 at no additional cost, and aren't required to migrate; the price change applied to new subscriptions. So if you're already a Dubsado customer, staying put costs you nothing extra. Switch because the tool doesn't fit how you work — not because you think a bill is coming. Almost always setup time rather than price. Dubsado's form and workflow builder is genuinely powerful, but configuring it properly is commonly reported as a 20+ hour job — enough that a paid 'Dubsado setup specialist' industry exists around it. Photographers who want to be taking bookings the same week often find the investment doesn't match how much of the feature set they'll actually use.

Sign&Shoot and Session are the two fastest. Both are deliberately narrower: you add your services and availability, and you have a booking link. Sign&Shoot takes about 15 minutes to a live booking page. Neither has anything like Dubsado's workflow builder, which is the point — if you need conditional multi-step automations, Dubsado is still the better tool and switching will feel like a downgrade.

Dubsado publishes annual pricing only: $335/year for Starter (about $28/mo) and $525/year for Premier (about $44/mo). Billed monthly both cost more — Dubsado describes annual billing as 'two months worth of savings'. Extra brands are $10/mo each and users beyond three start at $25/mo. There's no free plan, but the 21-day trial gives full Premier access without a card.

If your Dubsado setup is heavily automated, that configuration is a real sunk cost and worth weighing honestly before moving.

When you use the automation. If you have multi-step workflows firing off questionnaires, reminders and invoices without you touching them, or you run several brands from one account, Dubsado does things none of the simpler tools here attempt. The setup cost is only wasted if you were never going to use the depth.
