Change, cancel, or refund a booking

Editing dates, moving statuses, and the one condition that has to be true before you can refund.

Everything to do with an individual booking happens in one place: click the booking on your Calendar and a detail panel opens.

What's in the panel

  • Booking Details — service, date, time, location and duration.
  • Payment — total, deposit, balance remaining, and whether the money has actually arrived.
  • Contract — signed and when, awaiting signature, or not sent at all.
  • Client Info — email and phone as clickable links, plus their notes.

Rescheduling

Use the edit control in the panel. You can change the date, start and end times, the client's phone number and the notes, then press "Save Changes". The client isn't automatically emailed about a date change, so tell them yourself.

Changing the status

Under "Update Status" there's a button for each status, with the current one highlighted. Choosing Cancel asks you to confirm first.

Refunding

The Refund section only appears when both of these are true:

  • The booking is at Deposit Paid or Completed.
  • There's an actual Stripe payment attached to it.

If you don't see a refund option, it's one of those two — most often a booking that was marked paid by hand rather than paid through Stripe. There's nothing to refund because no money moved through the platform.

Refunding also cancels the booking, and it can't be undone. You'll get one confirmation prompt before it goes through.

Seeing payments on the calendar

There's a "Payments" toggle under the month name. Switch it on and invoice due dates and payments appear on the grid alongside your shoots, with overdue ones marked separately — useful for spotting what's outstanding without leaving the calendar.
