Send a contract for signature

Using a template, filling it automatically from a booking, and setting a default.

Contracts live under Documents → Contracts. You'll find two groups there: your own templates, and a library of ready-made ones.

Starting from a library template

There are four built-in templates — Portrait Session, Wedding Photography, Engagement Session and Event Photography. Press "Use Template" and you get your own editable copy under My Templates.

You have to make your own copy before you can send a library template. Pressing send on one directly asks you to save it first — "Use Template" is that step.

Sending it

    Press "Send" on one of your templates

    This opens a three-step send flow.

    Fill in the client and the session

    Either search for an existing client or type a name and email. Then the session details — service name, date, duration, location — and the pricing, including the deposit percentage. The deposit and balance are worked out as you type.

    Preview it

    Press "Preview Contract" and you'll see exactly what the client will receive, with every placeholder filled in.

    Send

    The button names the client, so you can see who it's about to go to. They get an email with a link.

Smart fields

Templates contain placeholders that fill themselves in when the contract is sent — client name, session date, service name, total price, deposit amount, balance due, duration and location. You'll see the full list in the editor under "Available Smart Fields". Anything you leave blank comes out as "TBD" rather than an empty gap.

Setting a default

Each of your templates has a star icon. The starred one is your default, and it's what gets attached automatically to new bookings — so most of the time you never open this page at all. One default template is created for you when your account is set up.

Counter-signing

Your signature is a separate step from the client's. When a client signs, the contract waits for you, and your Home page shows a banner telling you how many are waiting.

Common questions

Can I send a contract without a booking?

Yes. If there's no booking attached, one is created quietly in the background so the client's portal link works.

Can I edit a contract after it's been signed?

No. A signed contract is a legal record with a stored audit trail. If terms change, send a new one.

Where do I see what the client sees?

Open the booking's portal with the preview option and it renders read-only with a bar across the top reminding you it's a preview.
